All businesses need to cover three functions; operations, marketing and finance. Though most time is spent on operations that generate revenue, all three are of equal importance. Finance by nature is a supportive function that does not generate income, but sustains the business. This workshop will use Quickbooks as the platform and discuss how the right set-up and workflow ease regular bookkeeping tasks. Good workflow simplifies monthly billing; be it time-and-materials or fixed-price billing. It produces timely and accurate financial and job reports. The former shows overall company’s performance. The later shows jobs’ performances.

Using Quickbooks as the accounting platform:
- 5-minute accounting 101: two major financial reports; namely balance sheet and profit and loss, and the five major types of accounts that make up these two reports.
- Item set-up (and double-sided item set-up) which is used for billing and job costing.
- Tracking billable time and reimbursable materials and consultants’ fees.
- Using Item instead of expense tab for job costing.
- Creating invoices using Progress billing on fixed-price contract vs. pulling billable time and materials into time-and-materials invoices.

About the Presenter
Terry Chong is an accounting graduate from Golden Gate University. She worked with a small, local CPA firm for seven years before starting out on her own. She once aspired to develop affordable housing for middle-income families, and studied architecture at City College of San Francisco. She works regularly with contractors and architects and is familiar with construction and design phases, which allows her to customize Quickbooks; a widely used accounting software to ease the workflow of monthly billing and job costing. “Focus-Grow Bookkeepers, your in-house accountants” is the motto of her company. Terry aspires to be the best and biggest bookkeepers’ cooperative in San Francisco where all accountant-members can fully perform at clients’ sites and all take home a decent pay.
