PROJECT ADMINISTRATOR

Beverly Prior Architects is looking for a dynamic Project Administrator to help support project managers and architects on a variety of construction administration tasks. The ideal candidate is a team player who is skilled in multi-tasking, who has a “take charge” attitude and who can develop and implement solutions to common office issues. Candidate will be focused on supporting construction administration activities on projects with construction budgets between $4 million and $30 million. Responsibilities will include supporting all aspects of CA, including processing and distributing field reports, RFIs, and Submittals, as well as coordination with the architectural team, clients, owner’s representatives, project managers, contractors and consulting engineers. Potential tasks may include, but are not limited to: 1. Participate in the preconstruction meeting where possible; all correspondence/materials during CA to be directed through the Project Administrator (PA); the PA shall be copied on all e-mails during CA 2. Update and maintain all project directories 3. Receipt, date stamping, logging, distribution, and filing of all incoming correspondence (i.e. Submittals, RFI's, Change Orders, Meeting Notes, Testing Reports, Letters and Memos, etc.) 4. Organization and filing of all e-mail correspondence to and from the team 5. Tracking and processing of all outgoing materials (i.e. Reviewed Submittals, Completed RFI's, ASI's, Field Reports, etc.), received from the project team or the consultants 6. Scanning, copying, printing, e-mailing as necessary CA related information among the project team 7. Review and comparison of logs vs. contractors' logs periodically for discrepancies 8. Processing and distribution of punch lists from the project team to the contractor 9. Preparation, tracking, and processing of agency (i.e. DSA) paperwork and closeout materials 10. Miscellaneous tasks as needed

JOB REQUIREMENTS: A minimum of 5 years in varied administrative work with a strong track record in similar office environments are strongly desired. Experience in contracts and familiarity with business operations within an architecture firm is helpful. A college degree is desirable. Candidate must be highly organized with attention to detail and strong time management and organizational skills; must be able to communicate with a variety of staff, consultants, contractors, agencies, and clients effectively; able to supervise and assist others in office; and must have strong written & oral communication skills. Candidate must be proficient in using current software programs in the office necessary to perform duties: including Microsoft Word, Excel, Project; Deltek Financial Software, Adobe Acrobat. Knowledge of Photoshop, Illustrator, and familiarity with various database software is highly desirable.
